Ignem Creative Agency AB is the data controller for the processing described here. Company registration number: 559602-3506. Postal address: c/o Isak Havborg, Tegvägen 54, 175 53 Järfälla, Sweden. Email for data protection matters: hello@ignem.se. Website: https://ignem.se.
When you use our contact form, we collect your name, email address and the content of your message. The data is used to read, handle and respond to your enquiry and, where needed, to follow up on it. The processing is normally based on our legitimate interest in being able to respond to enquiries (Article 6(1)(f) GDPR), following a balancing of interests. If your enquiry concerns steps taken at your request before entering into a contract, Article 6(1)(b) may apply.
You need to provide the information required for us to respond. If you don't provide a working email address, we will normally be unable to get back to you. Please don't include sensitive personal data, such as health information, in the message field.
In connection with enquiries, quotes, contracts and projects, we may process names, contact details, roles, companies, invoicing and payment details, as well as communication and work material. The purposes are to communicate, provide quotes, carry out assignments, manage client relationships and comply with legal requirements. The legal basis may be contract or pre-contractual steps (Article 6(1)(b), where the other party is a natural person), legitimate interest (Article 6(1)(f), for example contact with company representatives) and legal obligation (Article 6(1)(c), for example bookkeeping).
For photo and film assignments, we may process images, audio, names and contact details of the people taking part. We inform those concerned about the intended use and determine the legal basis for each production, for example contract, legitimate interest or, where appropriate, consent. Publication of identifiable individuals and use of client cases are assessed separately against applicable agreements, data protection rules and any marketing requirements. Where consent is used as the legal basis, it can be withdrawn for future processing.
The contact form on ignem.se uses Netlify Forms. Submitted data is stored as form submissions in Netlify's service. We have also enabled email notifications to an address administered by IGNEM; depending on the notification settings, a notification may contain data from the form. We use a so-called honeypot field to reduce spam. Netlify provides the form handling and may engage sub-processors in accordance with its agreements.
Under our current access controls, IGNEM’s Netlify project can only be accessed by the company’s two representatives, Isak Havborg and Frida Erlandsson. This does not prevent Netlify and authorised sub-processors from processing data within the scope of the service.
Contact enquiries are kept for as long as needed to handle and follow up the matter – as a starting point no longer than 12 months after the matter is closed – unless there is reason to retain the data longer, for example to fulfil a contract or handle a legal claim. We regularly review form submissions and related emails and delete data that is no longer needed.
Data that must be retained under accounting legislation is kept for as long as the law requires. For other client and project data, the retention period is determined based on the contract, the purpose, legal obligations and the need to handle any claims. We don't keep personal data longer than necessary.
Personal data is handled by authorised people within IGNEM. We use Netlify for hosting and form handling, and may use an email provider for notifications and replies. Depending on the assignment, relevant hosting providers, accounting providers and agreed partners may also process data. We share only what is needed for each purpose and disclose data to authorities when required by law. We do not sell personal data.
Some of our service providers, including Netlify and its sub-processors, may process personal data outside the EU/EEA, for example in the United States. Any such transfer must be based on an applicable mechanism under the GDPR, such as a valid adequacy decision or the European Commission's standard contractual clauses, with additional safeguards where necessary. Contact us for more information about the relevant safeguards and how to obtain a copy of them.

Under the GDPR, you can request access to and rectification of your data, erasure, restriction of processing and data portability where the conditions are met, and you can object to processing based on legitimate interest. If we process data on the basis of consent, you can withdraw it. Some rights have exceptions, for example when the law requires data to be retained. Contact us at the email address in section 1. We respond without undue delay and normally within one month.
You can also lodge a complaint with the Swedish Authority for Privacy Protection (IMY), https://www.imy.se.
We limit access to data based on each person’s role and use the security features each service offers. We use access control, secure logins and procedures for deletion and incident management. Our safeguards evolve as the business grows.
We may update this information when our services or processing change. The latest version is published on ignem.se. Questions about personal data should be sent to the contact address in section 1.
